The Stowe Village Inn Policies & House Rules
We strive to provide our guests with an exceptionally clean, safe, and friendly hotel experience. The following Hotel Policies/House Rules have been established based on industry standards, management and operational procedures, and our personal experience of owning and operating The Stowe Village Inn. These Hotel Policies/House Rules are considered part of our reservation agreement with you. As our hotel guest, by choosing to stay with us, you are agreeing to abide by all of our Hotel Policies/House Rules, terms and conditions, and procedures. These Hotel Policies/House Rules are presented here to help promote our guests’ safety and enjoyment, and to ensure that each guest is aware of the understandings between The Stowe Village Inn and the guest. Our Hotel Policies/House Rules may change from time to time, so please review before your stay.
Breakfast:
We offer locally roasted Vermont coffee and a fantastic assortment of Vermont Artisan teas. We currently do not provide breakfast, however there are several great options within walking distance and the greater area that we can inform you of during your stay.
Guaranteed Reservations:
All reservations must be guaranteed with a valid major credit card. Guests must be 18 years or older to secure a reservation. We accept Visa, MasterCard, American Express, and Discover Card. A 50% deposit is required to secure the reservation. All reservations are allowed a one time date change penalty free. Once the one time date change has been made, all reservation deposits are non-refundable. The Stowe Village Inn is not responsible for weather conditions, personal emergencies, or schedule changes.
Pets:
We do not allow pets at this time. We will charge a $250 fee if any unauthorized pet(s) are found in a room. Additional charges may be added for any damages to hotel property.
Service Dogs:
The Stowe Village Inn will happily accommodate service dogs required to aid with a disability or illness. If you plan to travel with a service dog, please inform our Front Desk Agents. The Front Desk Agent may ask if the dog is required because of a disability or illness, and what task(s) the dog is trained to perform.
Front Desk:
Our front desk hours are between 6:30 AM and 9 PM, a front desk agent will be available at (802) 500-3232. After hours, a front desk agent can be reached at (802) 500-3232 ext. 9.
Guest Registration:
We require valid contact information from the guest making the reservations including the first and last name, email address, phone number, and zip code for a valid credit card. We also require any vehicles that will be parked on property be noted on the guest’s reservation.
Check-In:
Check-in is at 4:00 PM. Guests must be at least 18 years of age to check in. In the interests of security and to prevent fraud, guests are required to confirm their identity by providing their valid government issued photo identification (state driver’s license, passport, etc.) at check-in. If someone besides the original booker will be checking into the room, the Front Desk must be notified beforehand in order to add the guest name to the reservation and valid identification must be presented. For reservations with alcoholic packages, guests must be at least 21 years of age with a valid ID. Early check-in is based on availability.
Check-out:
Check-out is at 11:00 AM. An additional day charge plus tax may apply for late check-outs. If you require a later check-out, please contact the Front Desk and we will do our best to accommodate your request. Contactless check-out may be performed by replying to the Contactless Check-Out email you will be sent the day of your departure, with the link texted to you the day of your departure, or by dropping off your Access Code card at the Front Desk. Guests may also check-out by notifying the Front Desk Agent.
Early Departure:
Guests who check out of the hotel prior to their scheduled departure date are subject to an early departure fee up to the amount of the remaining nights of the reservation, plus tax.
Special Requests:
We will make every effort to honor special requests such as specific floor or room number, roll-away beds, microwaves/Keurigs, etc. upon your arrival. All special requests are noted on reservations and we will do our best to accommodate. However, the availability of these items cannot be guaranteed in advance. If a request cannot be accommodated, you will be notified prior to your arrival.
Payment:
All reservations require a deposit equalling 50% of the room rate before tax to secure the booking. The credit card on file will be charged the remaining balance of your stay at check-in. All reservations and registration must be guaranteed with a valid major credit card. We accept Visa, MasterCard, American Express, and Discover Card. Pursuant to credit card agreements, credit cards are not valid unless signed by the cardholder. All guests are required to present a valid major credit card and government issued photo identification. Cash payments will be accepted with a valid credit card on file. Reservations made with a Gift Card will require a valid credit card to be held on file. Checks and foreign currency are not accepted.
Rates:
All rates are quoted in United States currency, plus tax. Rates may increase or decrease without notice based on availability. Rates as advertised on The Stowe Village Inn website or any other website or promotional material are subject to change at any time and may increase or decrease at the hotel’s discretion and are subject to availability. Rates found on 3rd party websites (Expedia, Agoda, etc.) can be matched with documentation including a screenshot of the rate with dates, nightly rate, and room type shown.
Smoking:
The Stowe Village Inn is a 100% smoke-free facility. A designated smoking area is established outside and away from the Main Inn and Motel. All smoking is to be done 25’ to the right of the MoMo (Modern Motel) building. If a guest is found to have been smoking in a room, they will be subjected to a $250 smoking fee. Smoking tobacco, mariajuanna, hookahs, illegal drugs, vapes, cigars, or e-cigarettes are prohibited to assure that our facility is not exposed to items or actions that create an odor which is unhealthy and objectionable to our guests and staff, and that is difficult to remove from the air, carpet, walls and furniture. In addition, burning candles or incense, or diffusing strong-smelling plant-based or synthetic fragrances in our facility is also prohibited. Guests are encouraged to notify Front Desk staff immediately if they smell smoke or any other objectionable odors. This policy is not intended to stop people from smoking, but to regulate where they smoke and how it affects others.
Cooking, Appliances, Combustibles, and Fireworks:
The safety of our guests, staff, and this facility is extremely important to us. Except for the refrigerator, microwave, or coffee maker units that the hotel provides, preparation of food in guest rooms by any type of cooking appliances is prohibited. A minimum fee of $250 will be charged for cooking appliances found in a room including but not limited to: unauthorized microwaves and coffee makers, hot plates, toaster ovens, water heaters, rice cookers, barbecue grills, portable burner stoves, heating appliances, or any other item intended for cooking. Open fires, flames, charcoal or gas cooking grills, and fireworks are not permitted anywhere on hotel property. A microwave is available at all hours for all registered guests to use in the lobby near the tea and coffee station.
Right to Refuse Service:
The Stowe Village Inn is privately owned and operated. We reserve the right to refuse service to anyone for any reason(s) that does not violate Federal or State laws. The Stowe Village Inn may remove a person, without refund, who refuses to abide by the reasonable standards and policies established by the State of Vermont and the owners for the operation and management of the hotel. The Stowe Village Inn will refuse service or evict a guest for, but not limited to, any of the following behaviors:
- Refusal to pay for accommodations
- Being under the influence of alcohol, drugs, or any other intoxicating substances or otherwise not complying with state liquor laws
- Acting in a disorderly fashion which disturbs the peace of the other guests
- Improperly supervising children if they are being disruptive to the experience of other guests
- Seeking to use the hotel for an unlawful purpose
- Attempts to bring into the hotel an unlawfully possessed firearm, or explosive, toxic, and hazardous substances
- Damaging, defacing, destroying, or threatening harm to hotel property, guests, and staff
- Exceeding the maximum allowable occupancy of the room
- Refusing to abide by the reasonable standards and policies established by The Stowe Village Inn for the operation and management of our hotel
Children:
Well behaved children of all ages are welcome. As the parents, guardians, or chaperones of children, you are personally and legally responsible for and must supervise them at all times. For safety reasons, please do not leave children unattended in guest rooms or allow them to roam the hotel property unsupervised.
Quiet Hours:
Quiet hours are 10:00 PM to 8:00 AM. If you become aware of a disruptive guest, please contact the Front Desk immediately. Televisions, voices, or other devices must be kept at a respectful volume at all times. Doors should be opened and closed quietly. No congregating or running in hallways.
Ski/Snowboard/Bike Storage:
Skis and snowboards must be kept in their storage bags while in guest rooms. Ski boots are not allowed to be worn in any part of the Main Inn or MoMo (Modern Motel). Outdoor ski and snowboard storage is accessible outside of the Main Inn with locks provided for a $20 holding charge, which will be taken off of the final bill when the lock is returned. Outdoor bike storage is accessible outside of the Main Inn and MoMo, with locks provided for a $20 holding charge which will be taken off of the final bill when the lock is returned. Bikes may be stored in MoMo rooms, but are not allowed inside the Main Inn. Bikes stored in MoMo rooms must be suitably cleaned off before entering. A fee will be charged for any damages caused by ski, snowboard, or biking equipment. The Stowe Village Inn is not responsible for lost or stolen equipment.
Visitors:
Visitors must notify the Front Desk upon their arrival and must be accompanied by the registered guest at all times. As a registered guest, you are responsible for your visitor at all times. Visitors are not permitted after 10:00 PM.
Discounts:
At this time, we do not offer discounted room rates for participation or employment in organizations such as AAA, government employees, first responders, etc. A 5% discount is available for past and present members of the U.S. Military upon presentation of a Military ID, with the exception of blackout dates.
Cancellations:
For refundable reservations, we must receive a 72-hour notice before your confirmed arrival to receive your deposit back with a 3% cancellation fee. If any cancellation is made within 72 hours of your stay, your deposit will become non-refundable. For reservations booked under the “Non-Refundable” rate, your deposit will not be refunded if any cancellations are made. Any reservation which changes the original arrival date will be subject to the deposit becoming non-refundable.
No-Show Charges:
All reservations will have the remaining balance charged the day of check-in. Failure to contact the Front Desk prior to your arrival will result in the remaining balance being charged. If you have not checked in in the morning after you were scheduled to arrive, a Front Desk Agent will contact you. If the Front Desk can not get in touch with you, the reservation dates will be honored. If you do not check in between your scheduled arrival and departure dates, the reservation will be classified as a No-Show and will not be refundable or eligible for any credits toward a future stay. The Stowe Village Inn is not responsible for weather conditions, personal emergencies, or schedule changes.
Group Reservations:
Large group or block reservations must be cancelled four (4) weeks prior to the arrival date. Reservations canceled after that day may be charged one (1) full room charge plus tax for each room reserved and the balance of their reservations canceled.
Do Not Disturb and Access to Rooms:
To provide all of our guests with an exceptionally clean and safe hotel experience, we offer daily housekeeping. Please indicate with the door tag if you do not want the room cleaned. If additional cleaning is required, a request can be submitted through the TV or to the Front Desk. The right to privacy ends when a Hotel Policy/House Rule is broken. In the event of suspected illegal activity, management reserves the right to summon law enforcement to aid in eviction. Law enforcement will be granted immediate access to hotel property and rooms of evicted guests.
Additional Bedding:
A limited number of roll-away beds and baby cribs are available upon request. Availability is on a first-come, first-serve basis. The maximum capacity of a baby crib or roll-away bed is one (1) per room. An extra pillow and blanket can be found in the closet of every room. For safety, pillows are not provided for cribs.
Maximum Occupancy:
Room occupancy requirements are based on fire code and fire safety restrictions. Single Queen rooms maximum occupancy is two (2), Single King rooms maximum occupancy is three (3), Double Queen rooms maximum occupancy is five (5), King Suite rooms maximum occupancy is five (5). If you exceed the maximum number of guests allowed, you will be asked to rent another guest room for proper accommodations or vacate the hotel.
Linen Changing:
Your comfort is very important to us. For guests staying multiple nights, bed linen is changed every 3 days. Used towels are exchanged for fresh towels if left on the floor, per request, or every 3 days. If personal items are left on a bed, it will not be changed or made. Housekeeping will be happy to make your bed each day and change bedding as needed if all personal items are removed. Please contact our Front Desk staff if you have any additional requests or concerns.
Lost & Found Policy:
The Stowe Village Inn assumes no liability for lost, misplaced, stolen, or damaged valuables or belongings. If you discover that you have left an item behind, please call the Front Desk immediately at (802) 500-3232 and we will do our best to assist you in locating your lost item. Guests are financially responsible for the shipping, handling, and insurance of mailed belongings. Items found left behind in rooms will be stored for up to 30 days before being disposed of.
Found Items:
The Stowe Village Inn is not responsible for any item left behind by a guest. However, any item, with the exception of perishable items, found after departure will be collected, logged, and kept in a secure location for up to 30 days. Reasonable effort will be made to notify a guest if an item has been found. Perishable items, intimates, and miscellaneous toiletries will be discarded. After the 30 days have elapsed, any unclaimed item(s) will be discarded. We are always happy to return lost item(s) to you via the United States Postal Service. Your credit card will be charged for packaging and postage. The Stowe Village Inn is not responsible for any item lost or misdirected during shipment by the United States Postal Service. Please contact the USPS Customer Service Department at 1-800-275-8777 for assistance with packages.
Alcohol Policy:
Registered guests of legal age who choose to bring their own alcoholic beverages must consume those in their room. Alcohol purchased from the bar on site is permitted to be consumed anywhere in the Main Inn, on both patios, on the veranda, or on the lawn. Alcohol is not permitted in the parking lot.
Firearms & Weapons:
The safety and security of our guests and staff is extremely important to us. Our Firearms and Weapons Policy is designed for the protection of our guests, staff, vendors, and owners, and pertains to the presence of firearms and weapons on hotel premises. The Stowe Village Inn recognizes that guests and vendors may legally possess firearms or weapons for a variety of legitimate purposes. This policy has been developed to create a safe environment by providing appropriate guidance over the custody of firearms and weapons on our premises. The Stowe Village Inn is private property. Guests, who are lawfully permitted to possess a firearm or weapon, may bring such onto our our hotel premises for storage purposes only, with the understanding that they are personally responsible for the following:
- Guests must abide by all Federal, State, and local laws
- Firearms and weapons must be appropriately registered
- Firearms must be unloaded
- No cleaning of firearms is permitted on hotel premises
- Firearms and weapons must be safeguarded and secured in either a locked, hard-sided firearm container or a soft gun case provided by the guest at all times and clearly labeled with their name and contact information
- No firearms or weapons in the common areas
Guests and vendors who fail to abide by our policy may be asked to leave the hotel premises, are subject to trespass and may be subject to further legal action. Exempted from this policy are law enforcement officers and designated military personnel who are on-duty and are required to carry firearms in the performance of their duties. No exemption to this policy is allowed for private persons, even those licensed and permitted to carry a firearm openly or concealed under local, State, or Federal laws. It is our policy to promptly turn over any firearms left on the property to the Stowe Police Department if we are unable to contact the owner. Questions concerning these policies or its implementation may be addressed to the hotel owners directly.
In Case of Emergency or Fire:
Please notify Front Desk staff in the event of a fire or other emergency. Fire exits are located on each floor of the Main Inn, with signage indicating where to go. Each fire exit is equipped with a fire extinguisher. Fire pull stations are located throughout the building.
In-Room Gatherings:
The Stowe Village Inn has a zero-tolerance policy for in-room parties or large group gatherings that cause loud disturbances and/or noise nuisances. In the event of a disturbance, one polite request (warning) will be given to reduce the noise. If our request is not followed, the guest will be asked to leave or be evicted without refund. Registered guests are responsible for all persons visiting. Non-registered visitors are not permitted after 10:00 PM.
WiFi Access:
The Stowe Village Inn offers free WiFi to guests. The hotel WiFi password is subject to change without notice. WiFi signals are subject to change without notice depending on the room’s location, the status of our WiFi equipment, and interference from other local wireless signals. The Stowe Village Inn assumes no liability for guest use.
Enforcement:
All staff are trained and required to respond to potential violations of our Hotel Policies/House Rules. Guests who refuse to abide by the reasonable standards and policies established by The Stowe Village Inn for safety of all guests, staff, owners, property, and the operation and management of the hotel will be evicted with no refund.
Website:
The Stowe Village Inn makes its best efforts to ensure that all the information that appears on its website is accurate. However, no warranty, expressed or implied, is given that the information provided on this website is error free. The Stowe Village Inn does not accept liability for any errors and/or omissions, and reserves the right to change the information published at any time and without notice. The links provided on The Stowe Village Inn website are for the convenience of site visitors and are provided in good faith. The Stowe Village Inn does not accept liability for the contents or links provided on such websites, nor does it accept liability for any indirect or consequential loss arising out of the use or connected with its website.
Illness and Epidemics:
The Stowe Village Inn reserves the right to refuse accommodations to a guest arriving with a contagious disease. In cases where sickness occurs during the stay, please notify the Front Desk staff. In the case of serious sickness you may be requested to receive appropriate healthcare from a nearby healthcare facility. During epidemics, we are entitled to employ precautionary measures within our judgement or as required by local authorities. We may charge you a room cleaning fee as we deem appropriate under the circumstances.
Infestation:
The cleanliness of our rooms is extremely important to us and our guests. If you bring any infestation into your room or onto our hotel premises, we may charge you for any and all costs and expenses, including immediate or urgent response requirements and loss of room revenue that we deem necessary to address the infestation.
Parking:
Parking for registered guests is free. Guests are expected to provide the color, make, model, and license plate details for any vehicles that will be parked at The Stowe Village Inn. All vehicles are parked at the risk of the owner. The Stowe Village Inn shall not assume liability or responsibility for any vehicle, occupants, or contents while operated or parked on the hotel property. If a vehicle is left unattended in the parking lot after the guest has departed without the permission of the hotel, the hotel reserves the right to have the vehicle towed at the owner’s expense. No vehicle repairs on hotel premises.
Damage and/or Theft of Hotel Property:
You are liable for any damages to the room(s) or hotel property, whether caused by deliberate, negligent, reckless, or accidental acts by you or any person in your party including unregistered visitors. The Stowe Village Inn reserves the right to retain your credit card and/or debit card details as presented at registration and charge or debit the credit/debit card such amounts as it shall in its sole discretion deem necessary to compensate or make up the cost or expenses incurred or suffered by The Stowe Village Inn as a result of the aforementioned. Should this damage come to light after the guest has departed, we reserve the right and you hereby authorize us to charge your credit or debit card for any damaged incurred to your room or the hotel property during your stay, including and without limitation for all property damage, missing, or damaged items, smoking or cleaning fee, guest compensation, etc. Guest rooms found with waste, in complete disorder, and/or “trashed” will be subject to a maintenance or deep cleaning fee, administration fee, and/or third party fees. We will make every effort to rectify any damage internally prior to contracting a specialist to make repairs, and therefore will make every effort to keep any costs that the guest would incur to a minimum. Damage to rooms, fixtures, furnishings, and equipment including the removal of electronic equipment, towels, artwork, etc. will be charged at a 120% of full and new replacement value plus any shipping and handling charges. Any damage to hotel property, whether accidental or willful, is the responsibility of the registered guest for each particular room. In extreme cases, criminal charges will be pursued. Damage to mattresses and linen including towels, mattress pads, sheets, bedspreads, or blankets resulting from the use of body oils, make-up, shoe polish, etc. will result in a charge for the special cleaning, repair, or replacement of the damaged article.
Damage or Tampering with Fire Detection/Fire-Fighting Equipment:
The Stowe Village Inn reserves the right to take action against any guest or visitor found to have tampered or interfered with any detection equipment throughout the hotel, including detector heads in public areas, guest rooms, break glass points, and fire extinguishers. Guests or visitors found to have tampered with any fire detections or fire-fighting equipment will be charged with any costs incurred by the hotel due to their actions and will be evicted from the hotel. Depending on the severity of the guest actions, law enforcement may become involved at the hotel’s discretion. Should the fact that fire-fighting or detection equipment had been tampered with come to light after the guest has departed, we reserve the right and you hereby authorize us to charge your credit or debit card for any damage incurred to your room or the hotel property during your stay.
Changes or Modification to the Hotel Policy/House Rules:
The Stowe Village Inn reserves the right to amend, modify, change, cancel, vary, or add to these Hotel Policies/House Rules or the arrangements and content featured on our hotel website at any time without notice. Please check our website regularly for updates to Hotel Policies/House Rules. Any modifications that occur before your departure is considered part of your reservation agreement with us. A copy of these Hotel Policies/House Rules is available on our website and from the Front Desk staff upon request.
